How IHO-Hub collects, uses, shares, and protects your personal information

IHO-Hub (“we,” “us,” or “our”) operates the website https://ihohub.ca and the associated IHO-Hub web application (together, the “Platform”). This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit the Platform, register for an Account, purchase a Membership Plan, or otherwise use our Services. It should be read together with our Terms and Conditions of Use.

BY CHECKING THE ACCEPTANCE BOX DURING REGISTRATION, OR BY OTHERWISE USING THE PLATFORM, YOU CONFIRM THAT YOU HAVE READ AND UNDERSTOOD THIS PRIVACY POLICY AND CONSENT TO THE COLLECTION, USE, AND DISCLOSURE OF YOUR PERSONAL DATA AS DESCRIBED HEREIN, INCLUDING THE SHARING OF CERTAIN INFORMATION WITH VIDAN WORKFORCE SOLUTIONS (CANADA) AS DESCRIBED IN SECTION 4.1.

1.Who We Are

IHO-Hub is the operator of the Platform and acts as the controller of Personal Data processed through the Platform. Contact details are set out in Section 14.

2.Information We Collect

2.1 Information You Provide Directly

  • Account and registration data: full name, email address, password (stored in hashed/encrypted form), phone number.
  • Profile data: CV/resume, country, profession, and other information you choose to add to your profile.
  • Billing information: billing name and address you provide at checkout. Full card numbers and other sensitive payment credentials are collected and stored directly by our payment processors (Stripe and/or Paystack), not by us.
  • User Content: files, documents, and assignments you upload, and messages you send to Admin through the Platform.
  • Communications: information you provide when you contact support, respond to a survey, or otherwise correspond with us.
  • Job Board interactions: Opportunities you view, express interest in, or apply to through the Platform.

2.2 Information Collected Automatically

  • Usage data: pages and lessons viewed, videos watched, lesson-completion and course-progress data, login timestamps, and similar activity data.
  • Device and technical data: IP address, browser type, device type, operating system, and approximate location derived from IP address.
  • Cookies and similar tracking technologies, as described in Section 5.

3.How We Use Your Information

We use Personal Data for the following purposes:

  • to create and administer your Account, verify your identity, and provide the Services;
  • to process payments and manage your Membership Plan, including renewals, extensions, and refunds;
  • to deliver Educational Content, track lesson completion and course progress, and enable file sharing and in-platform messaging with Admin;
  • to operate the Job Board, including sharing relevant information with Vidan as described in Section 4.1, and sending notifications about new Opportunities;
  • to send transactional, service, and administrative communications, including membership-expiry reminders, announcements, and notifications;
  • to send marketing communications where you have opted in, and which you may opt out of at any time;
  • to maintain the security, integrity, and proper functioning of the Platform, including fraud prevention and enforcement of our Terms;
  • to analyze usage and improve the Platform and our Services; and
  • to comply with applicable legal, tax, accounting, and regulatory obligations.

4.How We Share Your Information

4.1 Vidan Workforce Solutions (Canada)

We share limited Personal Data (which may include your name, contact details, country, profession, and, where relevant, application documents you choose to submit) with Vidan when: (a) you actively express interest in, or apply to, an Opportunity posted through the Job Board; or (b) your Membership Plan entitles you to “priority consideration” or “priority notification” of Opportunities and you have not opted out.

Vidan is a separate and independent company that determines its own purposes and means for processing the information it receives. IHO-Hub is not responsible for Vidan's subsequent use of your data once it has been lawfully shared.

SHARING YOUR INFORMATION WITH VIDAN DOES NOT GUARANTEE THAT VIDAN OR ANY EMPLOYER WILL CONTACT, INTERVIEW, OR OFFER EMPLOYMENT TO YOU.

4.2 Service Providers

We share Personal Data with third-party service providers who perform services on our behalf, under contractual confidentiality and data-protection obligations, including:

  • payment processors (Stripe and/or Paystack) for billing and payment processing;
  • cloud hosting and object-storage providers for application hosting, database, and file storage;
  • video-hosting providers (e.g., YouTube) for streaming lesson videos;
  • email communication providers for transactional and marketing messages; and
  • analytics providers to help us understand and improve Platform usage.

4.3 Legal and Safety

We may disclose Personal Data where required to comply with applicable law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, or safety of IHO-Hub, our Users, or others, including to detect, investigate, or prevent fraud.

4.4 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our assets, Personal Data may be transferred as part of that transaction, subject to appropriate confidentiality protections.

4.5 No Sale of Personal Data

We do not sell your Personal Data to third parties for their own independent marketing purposes.

5.Cookies and Tracking Technologies

We and our service providers use cookies, web beacons, and similar technologies to operate the Platform (e.g., keeping you logged in), remember your preferences, understand how the Platform is used, and, where applicable, support analytics. You can control cookies through your browser settings; disabling certain cookies may affect the functionality of the Platform.

6.Data Retention

We retain Personal Data for as long as your Account remains active and as reasonably necessary to provide the Services, comply with our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Following closure of your Account, we generally retain Personal Data for a further period to meet these obligations, after which it is securely deleted or anonymized.

7.Data Security

We implement technical and organizational measures designed to protect Personal Data, including HTTPS/TLS encryption in transit, hashed password storage, role-based access controls, access-restricted file storage, and regular backups. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your Account credentials confidential.

8.International Data Transfers

IHO-Hub serves Users globally and uses service providers located in various countries, which may include Canada, the United States, Nigeria, and others. As a result, your Personal Data may be transferred to, stored, and processed in a country other than your country of residence, which may have data protection laws that differ from those of your home country. Where required by applicable law, we implement appropriate safeguards for such transfers.

9.Your Privacy Rights

Depending on where you are located, you may have some or all of the following rights regarding your Personal Data: to access, correct, or update it; to request its deletion; to restrict or object to certain processing; to receive a copy in a portable format; and to withdraw consent where processing is based on consent. You may exercise these rights by contacting us using the details in Section 14.

9.1 Nigeria

If you are in Nigeria, these rights arise under the Nigeria Data Protection Act 2023, and you may also lodge a complaint with the Nigeria Data Protection Commission (NDPC).

9.2 Canada

If you are in Canada, these rights arise under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation, and you may lodge a complaint with the Office of the Privacy Commissioner of Canada.

9.3 European Economic Area and United Kingdom

If you are in the EEA or UK, these rights arise under the General Data Protection Regulation (GDPR) or UK GDPR, and you may lodge a complaint with your local supervisory authority.

9.4 California and Other U.S. Residents

If you are a California resident, you may have rights under the California Consumer Privacy Act (as amended), including the right to know, delete, and correct your Personal Data, and the right to opt out of the sale of Personal Data. We do not sell Personal Data.

10.Children's Privacy

The Platform is intended for use by individuals aged 18 and over and is not directed to children. We do not knowingly collect Personal Data from anyone under 18. If we become aware that we have inadvertently collected Personal Data from a minor, we will take steps to delete it promptly.

11.Third-Party Links and Services

The Platform may link to, or integrate with, third-party services such as YouTube and our payment processors. These third parties have their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices of third-party services.

12.Marketing Communications

Where you opt in to receive marketing communications (such as our newsletter), you may unsubscribe at any time using the link provided in each such communication or by contacting us. You cannot opt out of essential transactional and service communications while your Account remains active.

13.Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted on the Platform with a revised “Last Updated” date. For material changes, we will provide reasonable advance notice by email or in-app notification. Your continued use of the Platform after the effective date of any revision constitutes your acceptance of the revised Privacy Policy.
